Position Overview

We are looking for a structured and proactive Admin Officer to support the daily operations of the Marketing & Communication Department and ensure effective coordination with other departments across the company.

This position focuses on coordination, follow-up, logistics, administrative rigor, and operational execution.

The objective is to ensure efficient internal organization, proper supplier coordination, and seamless cross-departmental collaboration.

What You'll Do:

Supplier & Production Coordination:
  • Identify and source service providers (printing, production, corporate gifts, event materials, etc.).
  • Request and compare quotations and manage invoicing.
  • Follow up on production timelines and deliveries.
  • Ensure quality and compliance with specifications.
  • Maintain and update the supplier and contact database.
Logistics & Stock Management:
  • Monitor stock levels of marketing materials and corporate gifts.
  • Prepare client gift boxes and event materials.
  • Anticipate replenishment needs and coordinate reorders.
  • Maintain structured stock tracking files.
Operational & Cross-Department Support:
  • Support the daily operations of the MarCom department.
  • Coordinate internal requests and follow up on action points.
  • Liaise with company departments to ensure smooth project execution.
  • Assist in organizing meetings and preparing documentation.
  • Support event logistics and operational preparation.
Administrative & Digital Organization:
  • Organize and maintain documentation through SharePoint and shared systems.
  • Maintain structured tracking tools.
  • Use project management tools to monitor progress.

What We’re Looking For:  

1. Education: Currently pursuing or recently completed a degree in Business Administration, Management, Marketing, or a related field.

2. Experience: Some experience in administration, inventory management, customer service, or operations is a plus.

3. Computer Skills:

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.).
  • Familiarity with SharePoint and digital document management systems.
  • Ability to create structured tracking tools and comparison tables in Excel.

4. Language: Excellent Khmer and English (written and spoken).

5. Mindset:

  • Structured and detail-oriented.
  • Takes initiative and volunteers support when needed.
  • Reliable in follow-up and task completion.
  • Comfortable coordinating with multiple stakeholders.
  • Solution-oriented and execution-driven.
  • Strong sense of responsibility and ownership.
