Position Overview
We are looking for a structured and proactive Admin Officer to support the daily operations of the Marketing & Communication Department and ensure effective coordination with other departments across the company.
This position focuses on coordination, follow-up, logistics, administrative rigor, and operational execution.
The objective is to ensure efficient internal organization, proper supplier coordination, and seamless cross-departmental collaboration.
What You'll Do:
Supplier & Production Coordination:
- Identify and source service providers (printing, production, corporate gifts, event materials, etc.).
- Request and compare quotations and manage invoicing.
- Follow up on production timelines and deliveries.
- Ensure quality and compliance with specifications.
- Maintain and update the supplier and contact database.
Logistics & Stock Management:
- Monitor stock levels of marketing materials and corporate gifts.
- Prepare client gift boxes and event materials.
- Anticipate replenishment needs and coordinate reorders.
- Maintain structured stock tracking files.
Operational & Cross-Department Support:
- Support the daily operations of the MarCom department.
- Coordinate internal requests and follow up on action points.
- Liaise with company departments to ensure smooth project execution.
- Assist in organizing meetings and preparing documentation.
- Support event logistics and operational preparation.
Administrative & Digital Organization:
- Organize and maintain documentation through SharePoint and shared systems.
- Maintain structured tracking tools.
- Use project management tools to monitor progress.
What We’re Looking For:
1. Education: Currently pursuing or recently completed a degree in Business Administration, Management, Marketing, or a related field.
2. Experience: Some experience in administration, inventory management, customer service, or operations is a plus.
3. Computer Skills:
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.).
- Familiarity with SharePoint and digital document management systems.
- Ability to create structured tracking tools and comparison tables in Excel.
4. Language: Excellent Khmer and English (written and spoken).
5. Mindset:
- Structured and detail-oriented.
- Takes initiative and volunteers support when needed.
- Reliable in follow-up and task completion.
- Comfortable coordinating with multiple stakeholders.
- Solution-oriented and execution-driven.
- Strong sense of responsibility and ownership.
